Assistant Property Manager (Commercial Building)

Location:LONDON

Key Responsibilities:

  • Assist the property and engineering managers in fostering strong client relations with occupier representatives, ensuring open communication regarding building issues.
  • Collaborate to maintain and update records of compliance with operational processes and procedures.
  • Support the procurement of costs and information to help manage the building service charge budget.
  • Enforce health and safety standards, emergency procedures, and safe working practices in accordance with current legislation. Act as the point of contact in emergency situations, executing evacuation plans as necessary.
  • Conduct regular physical inspections of completed works, service contracts, and the overall premises, reporting any issues to the property and engineering managers.
  • Handle routine correspondence and manage administrative duties to ensure the smooth operation of the building management office.
  • Assist in producing service specifications, contracts, and associated documentation that meet the service requirements of the premises.
  • Track and process service invoices and contribute to the production of management accounts.
  • Manage the computerized building management system (CAFM), including setting up buildings, editing instruction sets, maintaining asset registers, and generating reports.
  • Coordinate with contractors for seasonal landscaping and decorative planting, particularly during the Christmas period.
  • Undertake any other duties as directed, ensuring alignment with the companys vision and values.

About You:

  • Strong administrative skills with a keen eye for detail.
  • Knowledge of health and safety regulations.
  • Experience in budget management and specification/contract management.
  • Experience working with contractors and occupiers
  • Familiarity with CAFM systems or similar helpdesk software.
  • Basic IT skills and proficiency in Microsoft Office.
